Healing Hands Haven Ltd is committed to maintaining a safe, clean, professional, and welcoming environment for all clients, workshop participants, therapists, educators, and visitors.

We take all reasonable, proportionate steps to identify, assess, and mitigate risks arising from our clinical treatments, educational workshops, equipment, products, and operational environments. Where applicable, our health and safety protocols are informed by the Health and Safety at Work etc. Act 1974 and all other relevant UK health and safety legislation.

1.2 Client Health, Safety & Contraindications

• Pre-Treatment Screening: Before any physical treatment or specific workshop, clients must provide accurate, up-to-date information regarding their medical history, allergies, current medications, pregnancy, or other relevant health circumstances. This data is strictly used to identify contraindications and implement safe adaptations.
• Right to Refuse or Postpone: We reserve the absolute right to modify, postpone, or decline a treatment or workshop participation if we believe proceeding would place the client, participant, or practitioner at unnecessary risk.
• Medical Disclaimer: Our services and workshops are strictly designed for wellness, education, and complementary self-care. They are not intended to diagnose, treat, or replace professional medical care. Clients are advised to seek guidance from their GP, consultant, or pharmacist before booking if they have underlying health concerns.

1.3 Venues & Off-Site Workshops

When delivering workshops at hired, corporate, community, or third-party venues, Healing Hands Haven Ltd will take reasonable steps to familiarise staff with local emergency procedures and evacuation routes. Participants and staff must abide by both our internal safety standards and the specific health, safety, and fire regulations of the host venue.

2. PRIVACY NOTICE & DATA PROTECTION POLICY

2.1 Our Data Commitment

Healing Hands Haven Ltd respects your privacy and is dedicated to protecting your personal data. • Marketing Opt-In: Marketing communications are sent strictly on an opt-in basis. Where consent is required, it will be gathered clearly, and a straightforward mechanism to unsubscribe will always be provided. You hold the right to withdraw marketing consent at any time.

2.3 Photography, Video & Media Consent

• Promotional Media: We may occasionally capture photographs or video footage during workshops and events for use on our website, marketing materials, and social media platforms.
• Explicit Permission: We will always obtain your express permission before capturing or using any identifiable image of you. A resolute, written Media Consent Form will be provided.
• Data Retention: Paper-based or digital consent records will be retained securely as legal evidence of permission granted, in line with our internal data retention procedures.

2.4 Email Newsletters & Analytics

If you subscribe to our digital newsletter, your data may be processed via a third-party email marketing provider. 3. BOOKINGS, CANCELLATIONS & REFUNDS

3.1 Booking & Confirmation

A booking is legally confirmed only once Healing Hands Haven Ltd has sent a formal confirmation, and any required deposit or full upfront payment has been successfully cleared.

For bespoke corporate workshops, community projects, or private events, pricing is calculated transparently and fixed in advance based on:

• Total headcount of participants
• Event location, travel time, and expenses
• Consumable products, tools, and specific materials required.
• Equipment hires and session duration.

3.2 Cancellation or Rescheduling by the Client

• Notice Period: If you need to cancel or alter an appointment or workshop place, please notify us immediately.
• Cancellation Charges: Any applicable cancellation fees will be clearly outlined at the time of booking. Charges are strictly calculated to be reasonable and proportionate to the direct administrative costs or losses we incur due to the late cancellation.
• Deposits: Where a booking deposit is taken, it is non-refundable unless otherwise agreed. At our discretion, we may offer to transfer the deposit value to an alternative date or future workshop.
• Failure to Attend: Failing to attend a confirmed treatment or workshop without prior notice will result in the forfeiture of your payment or deposit to cover unrecoverable operational costs.

3.3 Cancellation by Healing Hands Haven Ltd

In rare circumstances, we may find it necessary to cancel or rearrange an event due to factors beyond our control (e.g., practitioner illness, severe weather, venue issues, safety hazards, or insufficient workshop bookings). If this occurs, we will contact you immediately to discuss your preferred remedy:

1. Transferring your booking to a rescheduled date.
2. Transferring your credit to an alternative workshop or service.
3. Issuing a full, appropriate refund of monies paid for that specific session.

    

4. WORKSHOP SCOPE & LIMITATIONS

4.1 Educational Nature of Workshops

Healing Hands Haven Ltd workshops are created strictly for educational purposes, personal awareness, self-care practices, and holistic wellbeing experiences.

4.2 Professional Limitations

• Non-Qualifying Courses: Unless explicitly and formally stated otherwise in writing, our workshops do not constitute professional qualification courses.
• Practice Restrictions: Participating in an introductory workshop (such as a demonstration of Indian Head Massage or self-use Gua Sha) does not certify, qualify, or insure you to practice professionally on members of the public. Professional, commercial practice requires separate accredited qualifications, formal insurance cover, and local licensing compliance.

5. POLICY MANAGEMENT & SIGN-OFF

This policy document is a living corporate charter. Healing Hands Haven Ltd reviews these terms at least once per calendar year, updating them immediately in response to shifts in UK statutory law, local government guidance, insurance mandates, or changing internal operational practices.
